ServiceGuru AI, LLC ("ServiceGuru," "we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use ServiceGuru.ai and related services. Please read this policy carefully. If you disagree with its terms, please discontinue use of the Service.
We collect information in several ways: information you provide directly, information collected automatically, and information from third parties.
Information You Provide Directly
- Account Information: Name, email address, phone number, business name, business type, and password when you create an account or complete our onboarding process
- Business Profile: Business address, service area, Google Review URL, hours of operation, and other information you provide to configure your AI receptionist
- Payment Information: Billing name, address, and payment card details. Full card numbers are processed and stored by our payment processor (Stripe) and are not stored on our servers
- Communications: Emails, support requests, and other correspondence you send to us
- Customer Data: Contact information for your customers that you upload, import, or that is captured through the Service (names, phone numbers, appointment details)
Information Collected Automatically
- Call Recordings & Transcripts: When using our AI phone answering service, calls answered by Sarah are recorded and transcribed. These recordings belong to your account and may include conversations between your customers and our AI
- SMS Logs: Records of SMS messages sent and received through the Service, including message content, sender/recipient phone numbers, timestamps, and delivery status
- Usage Data: Features accessed, pages visited, dashboard interactions, call volumes, response times, and other behavioral data about how you use the Service
- Device & Technical Data: IP address, browser type and version, operating system, referring URLs, and device identifiers when you access our web interface
- Log Data: Server logs capturing requests made to our systems, error reports, and performance data
- Cookies & Similar Technologies: We use cookies and similar tracking technologies to maintain your session, remember preferences, and analyze usage patterns. You can control cookie settings through your browser
Information from Third Parties
- Payment confirmation and subscription status from Stripe
- Caller ID and call metadata from Twilio when calls are received
- Information you choose to import from third-party services
2. How We Use Your Information
We use the information we collect for the following purposes:
- Service Delivery: To operate and provide the ServiceGuru platform, including routing calls to the AI receptionist, sending automated SMS messages on your behalf, and managing your dashboard
- Account Management: To create and maintain your account, process payments, send billing notices, and manage your subscription
- AI Improvement: To train, fine-tune, and improve our AI models and response quality. Where used for training, data is anonymized or aggregated to the extent practicable
- Customer Communications: To send your customers appointment reminders, review requests, booking confirmations, and other messages you configure through the Service
- Support: To respond to your questions, troubleshoot issues, and provide customer service
- Analytics: To understand usage patterns, improve features, and measure the effectiveness of the Service
- Legal Compliance: To comply with applicable laws, regulations, legal process, or governmental requests
- Security: To detect, prevent, and address fraud, abuse, security incidents, and technical issues
- Product Communications: To send you product updates, feature announcements, and relevant marketing communications. You may opt out of marketing emails at any time
3. Data Sharing & Third-Party Processors
We do not sell your personal information or your customers' personal information to any third party. We share data only as necessary to provide the Service and as described below.
The following third-party service providers ("processors") access data on our behalf to help operate the Service:

Each of these providers is contractually obligated to protect your data, use it only for the purposes for which it is disclosed, and comply with applicable privacy laws.
We may also disclose information:
- Legal Requirements: If required by law, subpoena, court order, or other legal process, or to protect our legal rights
- Business Transfers: In connection with a merger, acquisition, financing, or sale of all or a portion of our business assets, your information may be transferred as part of that transaction
- Safety: If we believe disclosure is necessary to prevent imminent physical harm or protect the rights, property, or safety of ServiceGuru, our users, or the public
- With Your Consent: For any other purpose with your explicit consent
4. Data Retention
We retain your information for as long as your account is active or as needed to provide you the Service. Specifically:
- Account data: Retained while your account is active and for up to 90 days after account termination to allow for recovery requests
- Call recordings & transcripts: Retained for up to 90 days by default; you may request earlier deletion
- SMS logs: Retained for 12 months for compliance and dispute resolution purposes
- Payment records: Retained for 7 years as required by tax and financial regulations
- Usage/analytics data: Retained in aggregated, anonymized form indefinitely after account closure
When data is deleted, we use commercially reasonable efforts to remove it from active systems within 30 days. Residual copies in backup systems may persist for up to 90 days thereafter.
5. Security
We implement industry-standard administrative, technical, and physical safeguards to protect your information against unauthorized access, alteration, disclosure, or destruction. These measures include:
- Encryption of data in transit using TLS 1.2 or higher
- Encryption of sensitive data at rest
- Access controls limiting data access to authorized personnel on a need-to-know basis
- Regular review of our security practices and vulnerability assessments
- Secure, SOC 2-compliant infrastructure through our hosting providers
No method of transmission over the internet or electronic storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security. In the event of a data breach that affects your personal information, we will notify you and relevant authorities as required by applicable law.
6. SMS Messaging & TCPA
By providing a phone number to a ServiceGuru-powered business and requesting or receiving services, customers may receive SMS messages including appointment reminders, review requests, booking confirmations, and follow-ups. This section applies to both our business customers and the end consumers who receive messages through our platform.
For consumers receiving messages from ServiceGuru-powered businesses:
- You may opt out of any SMS program by replying STOP to any message. You will receive a confirmation of your opt-out and will not receive further messages from that program

- Message and data rates may apply based on your mobile carrier plan
- Message frequency varies based on service activity and your relationship with the business
- Carriers are not liable for delayed or undelivered messages
Our business customers are responsible for obtaining legally required express written consent from their customers before sending marketing or promotional SMS messages under the TCPA. We process STOP requests automatically and maintain opt-out records.
We do not share personal information collected via SMS programs with third parties for marketing purposes.
7. CCPA / CPRA — California Residents
If you are a California resident, the California Consumer Privacy Act (CCPA) as amended by the California Privacy Rights Act (CPRA) provides you with additional rights regarding your personal information.
Categories of Personal Information We Collect
We collect the following categories of personal information as defined under the CCPA:
- Identifiers (name, email, phone number, IP address)
- Commercial information (subscription plan, payment history)
- Internet or electronic network activity (usage data, log data)

If we discover that we have inadvertently collected personal information from a child under 13, we will promptly delete it.

- Correction: Update or correct inaccurate information through your account settings or by contacting us
- Deletion: Request deletion of your account and associated personal information, subject to our retention obligations
